Introduction
The Uniwell EPOS Office Multi Site software is a powerful business system for the
management of a chain of outlets. The system operates at a remote level providing
financial, sales and business management tools, which are seamlessly integrated
with Uniwell POS terminals.
EPOS Office is designed to improve operational performance and business efficiency
by helping you concentrate on your business rather than tiresome tasks and paperwork.
The system will provide you with the key information needed for making cost saving
and profit making decisions.
EPOS MS takes advantage of the latest in technology and has a unique web style interface.
The built in web browser provides quick and easy access to the Internet and e-mail
at your fingertips all from within EPOS Office.
In addition the system seamlessly integrates with industry standard packages such
as Microsoft Excel, Word, Internet Explorer and more.
EPOS MS will allow up to 35 sites (Trading Outlets) to be polled from a single PC
at head office.
A wealth of financial and sales information is provided along with full management
of the remote POS terminals, including PLU’s, prices, methods of payment, menu changes
and keyboard layout.
A master product file provides a sound and reliable company wide product database,
whilst still allowing outlet specific changes.

Centralised File Maintenance
Products
A master product file keeps the system tidy, consistent and easy to use. The flexible
design means you need only display the information (e.g. prices, tax rate, cost)
you want for each product and in the order you want. Using the filter feature you
can display specified products, whilst the search and sort tools make finding a
product simple. Various function keys provide quick access to regular tasks and
a range of products can be edited at the same time. Products can be linked to other
products, or to ingredients or mixtures.
Grouping
Products are arranged into groups which are in turn arranged into major groups.
For example the product ‘Coca Cola' in the group 'Soft Drinks' in the major group
'Drink'.
Price Bands
EPOS MS allows maintenance of different price bands. You can use different price
bands at different sites therefore supporting regional variations and concept branding.
Reporting
POS Reports
POS ReportsThe POS reports can be viewed at head office by site, location (e.g.
restaurant or bar), individual POS terminal, date and session (e.g. lunch or evening).
Archived POS reports can be viewed in addition to the current POS reports.
Summary Reports
Two summary reports are available at head office, top sellers and sales mix. The
sales mix report gives a summary of the total sales made at each site. Double click
on a site name to get a major group (e.g. food, drink) breakdown for that site,
double click on a major group to get a group (e.g. Sandwiches) breakdown. Clicking
on a group gives you a product breakdown. Click on the total line on any of these
reports to go back a step.
A new feature enables you to create a HTML version of these reports with one click
of a button. This can be viewed using the browser in the software or an external
browser. This feature was requested by one of our existing customers and we have
found that it is an excellent feature for companies who have their own Intranet.
Sales Reports
There are three standard sales reports:
1. Gross Sales Report (Sales Mix). For each product the gross sales report
shows quantity sold, total, value of sales, average price sold for and percentage
of the total sales.
2. Profit and margin report. For each product the profit and margin
report shows gross value, tax, nett value, cost, profit and percentage margin.
3. Promotions loss report. The promotions loss report shows the value of losses
made by selling products at a promotional price.
Custom Reports
This option allows you to design your own reports. You can design as many reports
as you like allowing you to build up a library of custom information.
Once you have defined a report you can view historical data in addition to current
data. Reports can be displayed on the home page for quick access. This option ensures
that any needs for specific reports not met by the standard, pre-defined reports
can be met.
Operator Reports
A suite of operator reports is provided allowing you to monitor your staff's performance
and conduct. The following reports are available:
Sales Value
An overview of the total value of sales made by each operator. Sales can be broken
down into four types, ideal when different percentages of commission are paid to
operators for selling different types of products.
Transactions
For each operator this report shows the total value of sales made, number of sales,
average value per sale, number of customers served and average value spent per customer.
This report gives you a quick overview of operator performance and efficiency.
Voids and Refunds
The voids and refunds report shows the total and average value of all voids and
refunds performed by each operator.
Corrections and Errors
For each operator this report shows the number of corrections, clears and no sales
performed. The corrections and errors report and the voids and refunds report give
a high level of security and allow close monitoring of staff conduct.
Exporting
All reports can be exported to Microsoft Excel and Word. Reports can also be exported
in HTML so they can easily be integrated into company Intranet pages. Using the
'View' and 'Open' facilities on the home page exported reports can be quickly and
easily opened for editing without leaving the software. By exporting a report you
can change the layout to suit your exact requirements.
Chart/Graph Tool
A powerful charting tool available for all reports provides graphical analysis of
information. Four chart types are available: bar, line, point and area. Charts can
also be viewed in 3D if required. All charts can be printed or saved as pictures
(jpg or bmp files) allowing them to be easily included in management reports, web
pages or presentations.
Remote Site Management
Site Map
The site map is a 'virtual' map of your sites, locations and POS terminals. The
site map option allows you to set up a new system in minutes from head office. After
the initial installation additional sites can be added in minutes meaning that EPOS
MS is the ideal solution for businesses that expect to expand, grow and develop.
Site Grouping
Sites are grouped in three ways, regions, concepts and price bands. Regions group
sites based on their location, for example South West, Midlands. Concepts describe
the type of site, for example Cuba Coffee, Speedy Sandwiches, and Johnny's Diner.
Sites can also be grouped by the price bands they use. You can have an unlimited
number of regions, concepts and price bands that can be changed at any time. Existing
sites can be moved to a different region, concept of price band by simply dragging
and dropping.
Keyboard Maintenance
This option allows you to control and maintain the touch screen layouts at head
office. The software displays a ‘virtual keyboard’ that uses a very simple drag
and drop interface. If your menu changes simply change the keyboard layout at head
office and send it to the POS at the appropriate sites.
Software Intergration
The software seamlessly integrates with industry standard packages. The view and
open options allow you to open and edit many files such as Microsoft Excel, Word
and PowerPoint from within the software.
Reminders
You can enter reminders for upcoming events such as business meetings and promotions.
For regular appointments you can set the reminder to repeat each week. Reminders
can be displayed on the home page. If a preference is set, this is the first screen
that will appear when you load the software. This feature has proved to be invaluable
in hectic hospitality operations.
Contacts
Contacts, such as business associates can be entered and grouped by type. You can
view and e-mail contacts directly from the home page.
Internet
EPOS MS allow you to view web pages on the Internet. All you have to do is key in
the web address, for example www.mcr-systems.co.uk and the web site will open in
the software. As with all options in the software specific operators can be denied
access to the option if required.
Security and Protection
EPOS MS can be set as single or multi password system. In a multi password
system individual users can be given unique user names and passwords. Each user
can be given access to different options. The also includes a full user log.
The user log shows which users have been into which options and can also be used
as a security check to ensure no one is using someone else's user name and password.
